Office Policies 

Annual Administrative Fee

In In order to continue to provide the best quality care and services to our patients, West Tower
Pediatrics has instituted an annual, non-contractual administrative fee. This fee is due annually
on the 1st of the year and will help to cover services not covered by insurance.

Expenses have increased for everyone but the payments that we receive from insurance
companies have not kept up. In addition, many of the services that we provide are not covered
by insurance. This annual fee will enable us to continue to offer personalized and timely care,
in-office lab services, and around-the-clock access to medical advice.

The annual fee will cover non-covered services such as:

• Completion of most forms (school, camp, sports, medication) within 1-2 days
• In-office laboratory tests with same day results
• Medication refills
• Access to our HIPAA compliant Patient Portal
• Coordination of care and referrals to specialists and other providers
• 24-hour access to medical advice

We have tried to keep this fee reasonable but if it presents a financial hardship for you, please
contact our office to discuss the best way for us to accommodate you.

The annual administrative fee for families is as follows:

• $200 per year for families with one child
• $300 per year for families with two children
• $350 per year for families with three or more children

Insurance Plans and Payment

We accept the majority of PPO insurance plans and we are part of Cedars Sinai Medical Center Health Associates HMO plans. It is the patient’s responsibility, however, to verify insurance eligibility. We will bill your insurance company directly. It is our office policy that co- payments be paid at the time of your appointment.

Scheduling

Appointments for physical exams and for sick visits are scheduled during business hours Monday through Friday. Our staff will try to make reminder calls 24 hours prior to your scheduled appointment. If you are unable to keep an appointment, please notify our office at least 24 hours prior to your appointment. Same day cancellations or “no shows” for physical exams are subject to a $60 cancellation fee.

School and Camp Forms

Please allow 3-4 business days for the completion of school and camp forms and immunization records. Expedited form fees apply. Your child must be current with his or her physical exam for the forms to be completed. Completed forms can be emailed to the office or faxed. We cannot fax or mail forms to third parties (e.g. schools or camps).

Refills

For pharmacy refills, please have your pharmacy fax the request during office hours. Our fax number is (310) 652-2389. For controlled substances (ADHD medication), please allow at least 3 days for your medication to be refilled. These medications may require an appointment. 

Calling us with Questions

If you have a non-urgent question about your child, please call the office during regular office hours.  We ask that you call after hours only for urgent matters that cannot wait until the next day. For urgent matters after hours, please dial our office number and you will be connected to our nurse triage service.  A pediatric nurse practitioner is available to offer advice and can contact the doctor on call if needed. 
 

Hospital affiliation

Dr. Miller and Dr. Ouchi have privileges at Cedars Sinai Medical Center.
